Executive & Clinical Assistant – Hybrid (Functional Medicine Practice)
Location: Seacoast, NH (Hybrid: virtual & in-person)

About Holistic & Hormonal:
We are a functional medicine practice committed to helping women heal from the inside out, supporting hormone balance, metabolic health, fertility, perimenopause, and beyond. Led by a Certified Nurse Midwife and Doctor of Nursing Practice, we believe in root-cause care, data-driven interventions, and deep patient relationships.
Position Overview:
We’re seeking a reliable, heart-centered personal and clinical assistant to help manage our fast-growing wellness practice. This is not just a desk job, we’re looking for someone passionate about health and healing, who’s excited to be part of a mission-driven team and comfortable representing our brand in social and professional settings.
Key Responsibilities:
Administrative & Client Support
• Return calls and follow up with leads to book consultations and follow-ups
• Manage calendar, appointments, and patient bookings
• Monitor and respond to emails and inquiries with warmth and professionalism
• Submit lab orders, track lab arrivals, and assist in supplement ordering workflows
• Support virtual platforms
Operations & Logistics
• Order office and clinical supplies as needed
• Coordinate inventory for client kits, lab kits, and in-office products
• Assist in streamlining workflows and improving systems for a growing team
In-Person Engagement
• Attend networking events, business meetups, galas, and professional dinners as a brand ambassador
• Help with in-person pop-ups, workshops, or health expos in the community
Desired Skills & Qualities:
• Exceptional communication skills (verbal and written)
• Friendly, warm, and professional phone presence
• Comfortable with tech (Gmail, Google Calendar, Google Workspace, and practice tools)
• Proactive, organized, and detail-oriented
• Believes in or is curious about functional medicine and holistic health
• Willingness to learn new systems and protocols quickly
• Able to work both independently and collaboratively
• Trustworthy and able to manage confidential information
Bonus Experience (not required):
• Background in wellness, healthcare, customer service, or event coordination
• Social media support or content scheduling
Schedule & Availability:
• 15–25 hours/week to start with potential to grow
• Hybrid role with virtual and local in-person support required
