Inside Sales Coordinator
The Inside Sales Coordinator plays a key role in supporting the sales team, distributors, and OEM customers by ensuring smooth order flow, accurate communication, and proactive follow-up. This position bridges the gap between customers and internal departments (production, logistics, engineering, and accounting) to deliver an exceptional customer experience. The Inside Sales Coordinator will also assist with inside sales activities, maintaining pipelines, and driving growth through organized and efficient processes.
Key responsibilities include:
Order Management
- Enter OEM and distributor purchase orders accurately and in a timely manner.
- Monitor order status, coordinate with production, and follow up proactively to ensure on-time delivery.
- Handle order changes, backorders, and tracking updates, communicating with customers throughout the process.
Customer Communication & Support
- Serve as a primary liaison between customers and internal departments.
- Respond promptly to customer inquiries on pricing, availability, and lead times.
- Maintain professional and proactive communication to strengthen customer relationships.
Pipeline & Sales Support
- Assist with pipeline tracking and reporting, ensuring opportunities are updated and accurate.
- Support inside sales efforts through outbound calls, quoting, and identifying upsell/cross-sell opportunities.
- Generate, manage, and follow up on quotes and proposals.
Cross-Department Collaboration
- Work with production to address delays, quality concerns, or custom requirements.
- Work closely with logistics/shipping to ensure proper documentation, packaging, and delivery.
- Coordinate with finance for invoicing, credit terms, and payment follow-ups.
CRM & Reporting
- Maintain accurate records in the CRM system, ensuring all customer interactions, quotes, and opportunities are logged.
- Provide regular reporting on orders, pipeline status, and customer activity to management.
Continuous Improvement
- Identify and recommend process improvements to enhance order accuracy, communication flow, and customer satisfaction.
- Support special projects and initiatives led by Sales Management.
Requirements:
- Strong organizational skills with attention to detail and accuracy.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office Suite and CRM systems (experience with Streak CRM a plus).
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving skills and a customer-first mindset.
Experience:
- 2+ years in inside sales, customer service, or order management (manufacturing, marine, or industrial background preferred).
