Overview
We are looking for a high-impact
Director of Operations to serve as the engine of our agency. At Swell Media, we move fast, and we need a strategic operator who can bridge the gap between high-level vision and daily execution.
In this role, you aren’t just managing tasks—you are designing the systems that allow our media team to scale, our client services team to shine, and our agency to maintain healthy margins. You will oversee the workflow, technology stack, and internal processes that turn media budgets into measurable ROI.
Essential Duties And Responsibilities (Other Duties May Be Assigned)
Process Architecture & Workflow
- Design & Optimize: Evaluate and refine the end-to-end lifecycle of a client campaign, from onboarding and briefing to execution and reporting.
- Capacity Planning: Manage resource allocation across teams to ensure high-quality output without burnout.
- Standardization: Develop and maintain Swell Media’s standard operating procedures (SOPs) that ensure consistency across all accounts.
Media & Tech Stack Management
- Tech Oversight: Own the agency’s internal tech stack (Project Management tools, CRM, Time-tracking, Reporting Dashboards).
- Vendor Relations: Manage relationships with third-party data providers, platform reps (Meta, Google, TikTok, etc.), and software vendors to ensure we have the best tools at the best price.
Financial & Operational Health
- Profitability Tracking: Monitor account-level profitability and team utilization rates.
- Reporting: Work with the Finance team to oversee billing workflows, media spend reconciliations, and agency overhead.
- KPI Management: Define and track operational KPIs (e.g., campaign launch speed, error rates, client retention metrics).
Leadership & Culture
- Team Development: Work with department heads to build training and mentorship programs.
- Cross-Functional Bridge: Act as the "connective tissue" between departments to eliminate silos.

- Experience: 7+ years in operations, with at least 3–4 years specifically within a media buying or digital marketing agency.
- Systems Thinker: You don't just fix a problem; you fix the system that allowed the problem to happen.
- Data-Driven: You are comfortable in a spreadsheet and can translate raw data into operational strategy.
- Platform Fluent: You understand the nuances of programmatic, social, and search buying—even if you aren't the one pushing the buttons.
- Calm Under Pressure: You thrive in the "controlled chaos" of agency life and can prioritize ruthlessly.
