Job Description
We are seeking a highly organized and motivated Administrative Assistant to provide comprehensive administrative support to the CEMA Finance and Contracts Directors. The ideal candidate will be a proactive problem-solver with excellent communication skills and strong attention to detail. This position will be responsible for providing specialized administrative support for a variety of duties and tasks, as well as day-to-day coordination of meetings and travel.
Primary duties and responsibilities:

Maintain the Finance and Contracts Directors’ calendars, arrange meetings and appointments, including coordination with other business administrative staff on executive calendars.

Manage travel arrangements, expense reporting and procurement card reconciliation.

Coordinate, facilitate and provide support for various meetings and events.

Manage meeting and event logistics and connections, including catering.

Communicate with executives, administrative and management to gather and convey relevant information.

Maintain and track action items through completion.

Assist with special projects as assigned.
Required Education, Experience, & Skills
-
Prior experience working as an Administrative Assistant in corporate setting

Experience in coordinating, facilitating, and supporting meetings, and events

Experience managing schedules and calendars for executive leadership with complex time commitments

Proactive approach to problem-solving, highly organized, and detail-oriented
-
Robust ability to multi-task and prioritize daily workload ensuring tasks and deadlines are met

Proficiency in Microsoft Office applications: Teams, Word, Excel, PowerPoint, and Outlook

Proficient verbal and written communications skills

Pay Information
Full-Time Salary Range: $63454 - $101526
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
