This position will have the opportunity to be based in either our South Portland, ME, or Portsmouth, NH office.
RSWA is an independently owned, fiduciary, fee-only wealth management firm serving 200+ high-net-worth households with $1 million–$10 million+ in investable assets. We are expanding our team and seeking a Client Service Associate who is excited to deliver exceptional client experiences while exploring future career options inside a growing advisory firm.
Role Overview
You will provide hands-on service to our high-net-worth clients and support our advisors with daily operations. After roughly a year of learning RSWA’s culture, systems, and service model, you will have the opportunity to choose your path:
· Service & Operations Track: Deepen expertise in client service and firm operations—technology, trading, compliance, and process improvement.
· Advisor Track: Begin the journey toward becoming a Financial Advisor, gaining exposure to planning, investments, and client-facing responsibilities.
Key Responsibilities
Client Service & Operations
· The Service and Operations Specialist position is an in-office position
· Act as a primary contact for client inquiries; schedule and confirm meetings; prepare and follow up on meeting deliverables.
· Process account paperwork—deposits, withdrawals, new accounts, and transfers—with our custodian Schwab.
· Maintain and leverage the firm CRM (Advyzon) to ensure accurate client records and workflow tracking.
· Support trading and portfolio management functions, including processing trades and quarterly client billing.
· Coordinate client communications such as quarterly statements, compliance notices, and event invitations.
· Assist Financial Advisors with onboarding of new clients
Technology & Process Improvement
· Help evaluate and implement technological solutions that improve client experience and firm efficiency.
· Identify opportunities to streamline workflows and recommend enhancements.
Compliance & Administration
· Assist the Chief Compliance Officer with routine compliance tasks and documentation.
· Support basic office administration, including vendor invoices and supply management.
Qualifications
· Bachelor’s degree required; 0-3 years of professional experience (financial services a plus).
· U.S. Citizen
· Strong organizational, follow-through, and multi-tasking skills with keen attention to detail.
· Excellent communication and relationship-building skills.
· Tech-savvy and eager to use and learn new platforms (MS Office 365, Advyzon/Quantum, MoneyGuidePro, Constant Contact, etc.).
· Ability to maintain strict confidentiality.
