Position Summary:
We are seeking a detail-oriented, organized, and reliable part-time Finance & HR Administrative Assistant to support our finance team and HR operations. This role is ideal for someone who thrives in a fast-paced environment and can assist with both accounting tasks and HR administrative support.
Key Responsibilities:
Finance & Accounting Support:
- Enter and process accounts payable invoices, track approvals and payments.
- Generate and send customer invoices; follow up on overdue accounts.
- Assist with bank deposits, expense reports, and minor reconciliations.
- Maintain accurate financial records and organized filing systems.
- Prepare basic reports and assist with budget tracking as directed.
- Assist in managing and facilitating administrative duties of contracts for state/municipal, and federal agencies
HR & Office Support:
- Assist with onboarding paperwork and benefits administration.
- Schedule interviews and coordinate HR-related meetings.
- Track employee leave requests and maintain attendance records.
- Prepare routine HR reports and assist with internal communications.
- Entering of time sheets into ERP system.
General Administrative Duties:
- Manage routine emails, phone inquiries, and calendar coordination.
- Order office supplies and maintain vendor contacts.
- Assist with minor research or data-gathering tasks for finance or HR projects.
- Daily mail collection.
- Other duties as requested.
Qualifications:
- Strong organizational skills and attention to detail.
- Proficiency with Microsoft Office Suite; familiarity with accounting software is a plus.
- Ability to handle confidential information with discretion.
- Excellent communication skills.
- Prior experience in finance, accounting, HR, or office administration preferred
- Experience managing state and federal contracts is a plus.
Schedule & Location:
Part-time, 20-30 hours per week. Flexible schedule possible. On site only.
Pay: $25.00 - $38.00 per hour
