Oyster River Cooperative School District has a fall opening for a full-time, school-year Assistant Registrar at Oyster River High School.
Job Goal: The high school assistant registrar needs to be dedicated and organized to support the interaction between students and parents with the high school counseling department. This role is crucial in maintaining a professional and efficient environment, ensuring that all tasks are handled with precision and confidentiality.
Qualifications
- High School Diploma or equivalent
- Proficiency in Microsoft Office Suite and familiarity with student information systems.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask and manage time effectively in a busy environment.
- Strong understanding of confidentiality and ethical standards in an educational context.
- Proactive and able to function independently while being customer-service oriented.
- Reliable, punctual, and welcoming to all stakeholders.
Performance Responsibilities
- Handle incoming phone calls and emails, responding to inquiries in a timely manner.
- Maintain cumulative filing cabinets for current classes. Check and correct each cumulative file to a standard of filing and order.
- Integrate incoming Barrington grade 9 cumulative files.
- Each summer moves graduate class to other storage and add rising freshmen to cabinets.
- Complete education verification requests
- Complete unofficial and official transcript requests. Each summer file senior transcripts in cumulative file and storage.
- Send transferred student records requests to school of origin
- File transfer records as they are received and compile records for withdrawn students to be mailed to destination schools. Deliver and collect medical records to health office, accordingly.
- Maintain In/Out Book - student transfer and withdrawals.
- Help parents/guardians with issues logging into the district's online system for enrollment forms (as needed)
- Assist District Registrar with data entry, lists, and reasonable tasks as requested.
- Maintain professionalism in all communications, both written and verbal.
- Manage the counseling office calendar, scheduling appointments, and reserving facilities as needed.
- Assist with time management for various activities and organization of events.
- Assist with the eighth-grade transition process as needed by the Director of Counseling.
- Organize scholarship opportunities and book awards and assist in coordinating awards day and graduation week activities.
- Other responsibilities as assigned by school administration.
Work Environment: This position requires a friendly and professional demeanor, with a focus on fostering a positive school culture. The high school assistant registrar will be integral to the operations of the High School Counseling Department and will interact regularly with students, parents, and staff.
