Job Summary
We are seeking a professional and organized Secretary/Receptionist to join our team. The ideal candidate will serve as the first point of contact for clients and visitors, manage administrative tasks, and support office operations efficiently. This role requires excellent communication skills, proficiency with office management tools, and a friendly demeanor to ensure a positive experience for all stakeholders.
Responsibilities
- Greet visitors and clients in a courteous and professional manner at the front desk
- Answer multi-line phone systems promptly and effectively, demonstrating proper phone etiquette
- Manage appointment scheduling and calendar management using Microsoft Office, Microsoft Teams, Google Workspace, or similar tools
- Perform data entry, filing, and maintain accurate records using office software including QuickBooks and bookkeeping systems
- Provide exceptional customer service support to clients and internal staff
- Assist with administrative tasks such as proofreading documents, managing correspondence, and organizing office supplies
- Support office management duties including clerical work, document preparation, and record keeping
- Handle incoming and outgoing mail, emails, and messages efficiently
- Maintain an organized workspace to ensure smooth daily operations
- Communicate with in-field crew members to help assist them when needed.
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Experience with QuickBooks or bookkeeping is a plus
- Excellent organizational skills with the ability to multitask effectively
- Bilingual abilities are preferred to assist diverse client needs
- Demonstrated customer service skills with professional phone etiquette and good in personal communication
- Ability to handle confidential information discreetly and responsibly
- Strong typing skills with attention to detail for proofreading and document accuracy
- Personal assistant or medical receptionist experience is beneficial but not mandatory
- Must be highly organized with good time management skills to prioritize tasks efficiently
